Access2ID is software specifically written to manage ID replacement and ID storage records. It's based on effective software being used at Street Health in Toronto (see Our Inspiration). It's easy to use with just a web browser, while ensuring the privacy and security of the data.
Access2ID gives you one well-organized place to store copies of application documents, supporting documents, and notes on your interactions with clients and government agencies. The system allows you to readily see the type and status of any application, and when ID has been received, picked up, stored, signed out, or signed in. This means that you can quickly look up information clients need, without having to search through files, without risking data loss, and without breaching privacy. You never have to worry about backing up your records, and you can quickly retrieve them from any location. Report functions also allow you to analyze and advocate for the services you're providing. For these reasons, it's a data management system that frees you up to focus on supporting clients through what is a complex and always essential service.
You can rest assured that your data is secure from end to end. It starts with a secure connection from the user's browser, connecting to a tenanted-instance of the application on the server. A tenanted application means that each client will have separate database tables, and separate document storage. The data is being stored on Amazon Web Services (AWS) servers based in Canada. We are happy to provide documentation of the technical details if requested.
Each client can have as many users as they would like, each with their own login. Activity is tracked, so that a user can see who created and/or updated a client or a request. If a user forgets their password, they can request a quick password reset.
Yes! You can set the user to "View Only", "Edit", which lets you edit contet, or "Admin" which also lets you edit the available menu options.
Northern Village can help move records over to Access2ID as an additional service. We will review your current system and provide an estimate for the transfer. For organizations that are using a paper-based system, we recommend tracking new applications with Access2ID, and adding historical records as needed.
Staff can pretty much log into the software and immediately begin using it. It's that simple. We will provide training and support as needed. A comprehensive review of the software could easily be done in less than half a day.
Northern Village includes technical support for its software services within the monthly subsciption fee. We'll automatically ensure your system receives any upgrades that become available over time. If you have any questions about Access2ID, you can email or call for immediate support.
With Access2ID being a Software as a Service, you won't have to upgrade anything. We will provide regular upgrades to the software in the back end on an as-needed basis, or to add additional functionality. These may require very short periods of downtime during low-use periods.
Yes. We will provide an export of your data upon request.
